Where & When is this year’s event?
The 2026 Winter Meeting (formerly known as the Annual Meeting) is at the Hilton Vancouver, December 9 – 11.
There CLE (Continuing Legal Education) Seminar is being offered on December 8. The CLE Seminar is a separate charge from the Winter Meeting. You can register for this by clicking on the registration link at the top of this page.
We are also offering two training modules on December 8th. These are also a separate charge from the Winter Meeting and you can register for them at the same registration link above.
How do I register for this event?
Please register using our online form so we can collect the correct information. The link to the registration form is located at the top of this page.
Will I receive confirmation of my seminar registration?
Yes. A confirmation email will be sent within 24 hours to both the attendee and the admin email addresses provided during registration.
If you do not receive confirmation within 2 days, please email Mandy Lill or call 360.878.6299.
There was no link to pay for my registration, how do I pay you?
WPPA will send an invoice for all registrations and sponsorships after the event. Payments may be made by check or by calling in a credit card.
What is the dress code?
- Meeting sessions: Business or business‑casual
- Thursday evening Presidents Reception: Cocktail attire suggested
Hotel Information:
If you have an extra room that you need to cancel – PLEASE CONTACT MANDY FIRST! I may have someone on a waiting list that could use your room. Thank you!
Room Rate: $214 – $254 per night (depending on bed type) + applicable taxes and fees
We have a limited number of rooms set aside at this rate so please reserve only what you need.

Hotel Cancellation Policy:
Cancellations must be made at least 7 days before arrival for refund of your first nights deposit.
If possible, contact Mandy before cancelling so we can assist attendees in need of a room.
Check‑in: 4:00 pm
Check‑out: 12:00 pm
Reservation Deadline:
To guarantee the group rate, reservations must be made by Saturday, November 7th.
Our room block may sell out before that date—reserve early.

Parking:
The hotel’s offers an attached secure underground parking facility for registered hotel guests. We are getting a discounted rate of $34/day (down from $37) for self parking, or $44 per day for valet parking.
There is also a nearby city owned parking garage (kitty corner from the hotel) called the “Park & Go”. Current rates are $1.75/hour, or $17.50 each day for up to 5 days. This garage has a height limit of 7′.
Pets:
Dogs are welcome at the Hilton Vancouver. You must request a dog friendly room when making your lodging reservation. There is a 75 lb weight limit, and a $75 non-refundable pet fee for a stay of 1 – 4 days (price increases for 5 or more days). 2 pets max (dog or cat only).
Phishing & Security Reminder
Please be aware that scammers may impersonate hotel staff. If you receive an email, call, or message asking you to update payment details or provide bank account information, do not respond using the contact details in that message.
If anything seems unusual, confirm directly with the hotel by calling their official phone number or by checking with staff at the front desk.
Is there a registration deadline?
To receive the early‑bird rate, please register by Monday, November 16th.
Registrations received after this date will be charged the higher standard rate.
On site registrations will also be charged the higher standard rate.

Rates increase after November 16.
Please note that in addition to your registration fees, we now also have to charge you sales tax: In 2025, the Washington State Legislature passed Senate Bill 5814, which expands the types of “services” that are subject to the retail sales tax. According to guidance from the Department of Revenue, that includes “lectures, seminars, workshops, or courses where participants attend either in person or via internet.” As a result, WPPA now charges retail sales tax on applicable event registrations at the local rate for the jurisdiction in which the event is held.
Your fee includes all activities and meals listed on the applicable agendas.
Associate Members: The Thursday morning Ports‑Only Breakfast is for registered port attendees only.
Do I need to register my spouse? What can they attend, and is there a charge?
There is no additional fee for a spouse to attend, but please register them in advance.
Your spouse is welcome at:
- Wednesday evening Associate Member Reception
- Thursday evening Presidents Reception
The Ports‑Only Breakfast on Thursday morning is for registered port attendees only (no guests or associate members).
If you need to add a guest after registering, please email Mandy Lill.
I have dietary restrictions/I’m vegetarian. How do I let you know this?
Please note your dietary needs in the comment section of the registration form. This helps us coordinate with the hotel in advance.
Because of hotel policies, last‑minute requests may not be accommodated.

A $100 administration fee will be applied to cancellations received after November 24, 2026, and for registrants failing to show.

Associate Member Reception – Reserve Your Table!
Join us on Wednesday, December 9, from 4:00–6:00 pm, following the general session. This relaxed networking event gives Associate Members and port representatives the chance to connect early in the meeting.
Hosted bar (beer, wine, non‑alcoholic beverages) and light hors d’oeuvres provided.
Associate Members may reserve a display table to showcase their organization.
Details:
- Date: Wednesday, December 9
- Time: 4:00–6:00 pm

- Cost: $250 per table (registration fees not included)
- Additional Staff: Up to 2 reception‑only attendees may be added for $100 a piece. You must have at least one other attendee with a full registration.
- Table Limit: Only 20 tables available—reserve early!

We are not able to accommodate walk-ins, you must reserve a table in advance.
